Chapter 7  Data Input

7.1  Overview

In a management information system, there is some auto-filling method to be convenient for the user to input the data

 such as dropdown list, auto ID process etc. In BC Excel Server, it offers five manners for the user to approach the issue.

This chapter is to introduce these data input manners with the instances of the Cesoft CRM System.

We have built the Customer Register Form and Sales Order Form in the last chapter. In this chapter, we will update these

 two forms with some data input methods.

7.2  SysVar

SysVar is the default variables in BC Excel Server.

                          System Variables

Case:

                                     Auto-filling the data

Step One: Login the template of Customer Register Form and open Data Table.

Select the row in SafftName and click the “….” button in ‘Fill criteria” to open the Input Criteria interface.

Step Two: Select ‘Current Login’ in System variable.

Step Three: Select the FillingDate and click the “….” button as above.

Step Four:  Select ‘CurrentDate’ in System variable

 

Step Five: Select the Department and click the “….” button.

Step Six:  Select ‘CurrentDeptName’ in System variable

Step Seven: Click Update while you finish

The change will be marked in the data table (see Figure 7.2.1 )

7.3  Auto ID Process

Auto ID is the term used to describe the process of automatic data collection and identification that occurs in

 real-time (see Figure 7.3.1 )

There are two steps to set up the auto ID. One is to build the role of auto ID in ES Management Console, the

other one is to apply in data table.

Case: Set up Auto ID for customer reference of Customer Register Form

Step One: Click ‘New’ on ‘Auto ID Process’ in ES Management Console

 

Build a new auto ID ‘CustomerRef’ and Fill the role of the auto ID. e.g. Characters plus numbers. In this case, ‘Q 7’

is the characters and ‘ 7’ is the place of the number. ‘QZ 000001’ is the started ID.

Step Two: Back to My Workbench, login the template of Customer Register Form and open the data table. Select the

field of ‘Ref’ (customer reference) and press the button ‘….’ of Fill Criteria (see Figure 7.3.2 )

Put auto ID ‘CustomerRef’ to the field ‘Ref’ and press ‘Update’ button once you finished.

7.4  Dropdown List

In some report, drop down list (see Figure 7.4.1 ) might be the necessary input type for inputting data. BC Excel Server

 offer two kind of the drop down list source: one is from constant value; the one is from existed data table. Constant

 Value data source means the content defined by you, the data source of data table means the content defined from t

he source table.

The example case will be base on the Customer Register Form and Sales Order Form.

Case 1. Build Dropdown List with data source of Constant Value for customer credit in Customer Register Form

Step One: Build a new dropdown list in ES Management Console

Name the dropdown list as ‘CustomerCreditPoint’ and select ‘Constant Value’ as data source.

Add the content of the list: ‘Credible Customer’, ‘Good’, ‘Normal’, ‘Bad’, ‘Disrepute’, ‘Trickster’

Step Two: Back to My Workbench and open the template of Customer Register Form then activate the data table,

 fill the Dropdown List ‘CustomerCreditPoint’ to the field ‘Credit’

 

Case Two: Build Dropdown List with data source of Data Table for customer field in Sales Order Form (see Figure 7.4.2 )

the contents of the list will change while the data source ‘Customer Register Form’ changed

Step One: Build a new Dropdown List ‘CustomerName’. Point the ‘Data Table’ as the data source. Select ‘Customer

 Register Form’ as the target template and choose the field of ‘company’ as the value field then click ‘ok’

 

Apply the Dropdown List ‘CustomerName’ to the field ‘Customer’ in Sales Order Form.

 

7.5  Drop List

Drop List is design to simplify the data input of detail table, which is generating the multiple data fields. (See Figure 7.5.1 )

Case: Build a new Drop List for ‘Sales Order_Detail From’ to input the product’s code and name from Product Register Form

Step One: Set up new Drop List ‘ProductList’

Step Two: Press ‘Data Source’ Button in the Dropdown List setting window.

Step Three: import the Product Register Form

Step Four: Press ‘Define fields’ button.

Step Five: Write ‘Code’ as the list name and Double click the ‘Expression’ area

Step Six: Import the field ‘Code’ in Product Register Form refer to the list name ‘Code’

Step Seven: Same manner to import the field ‘Products’ in Product Register Form refer to the list name ‘Products’

  Step Eight: Tick list name ‘Code’ as the default field then click ‘ok’

The ‘ProductList’ Drop List is completed and displayed on ES Management Console

Link the field ‘Code’ and ‘Products’ of Sales Order Form with the drop list ‘Productlist’

Step Nine: Login the template of Sales Order Form and open the data table. Select the field ‘Code’ and press the ‘…’ button of ‘Fill criteria’

 Step Ten: Fill ‘ProductList’ into the criteria

Step Eleventh: Click ‘…’ of ‘Fill Into Following Fields’ to choose which field of the Sales Order Form need to be filled

  Step Twelve: Double click the field area and select ‘Code’ and ‘Products’ to fill Sales Order Form’s fields of Code and Products.

Step Thirteen: ‘Update’ the setting
